Policy on Generative AI and AI-Assisted Technologies
JUTECHSY: Journal of Technology and Information System acknowledges the growing role of generative artificial intelligence (AI) and AI-assisted technologies in academic research, manuscript development, data analysis, and scholarly publishing. The journal recognizes that these technologies may provide legitimate support for researchers and publishing professionals when they are used responsibly, transparently, and under appropriate human supervision.
JUTECHSY permits the use of AI-assisted technologies as supporting tools. Their use, however, must not diminish or replace human intellectual involvement, scholarly reasoning, critical evaluation, methodological responsibility, or professional judgment. Individuals who use AI tools remain accountable for the accuracy, integrity, originality, and ethical compliance of their work.
This policy applies to authors, reviewers, and editors involved in the publication process of JUTECHSY and establishes requirements concerning transparency, research integrity, confidentiality, accountability, intellectual property, and responsible use of AI.
1. Use of AI by Authors
Authors may use generative AI or AI-assisted technologies as supporting tools during research and manuscript preparation. Appropriate uses may include:

language editing and grammatical improvement;
-
improving clarity and readability;
-
reorganizing or structuring manuscript content;
-
assisting literature discovery and preliminary information retrieval;
-
supporting brainstorming and preliminary conceptual development;
-
assisting programming, debugging, computational analysis, or other technical activities, provided that the outputs are independently verified; and
-
other supporting activities conducted under meaningful human supervision.
The use of AI must not replace the author's own scientific reasoning, interpretation, analysis, critical assessment, or original intellectual contribution.
Authors retain full responsibility for all material contained in a manuscript submitted to JUTECHSY, irrespective of whether AI technologies were involved in its preparation.
Authors who use AI-assisted technologies are required to:
-
examine, edit, and independently verify AI-generated outputs before incorporating them into the manuscript;
-
confirm that every citation and reference corresponds to a genuine, accessible, and verifiable scholarly source;
-
independently verify factual claims, numerical data, quotations, calculations, interpretations, and other research information;
-
ensure that the manuscript represents the authors' own scholarly contribution and judgment;
-
avoid entering confidential, proprietary, personal, sensitive, or unpublished research information into AI systems when appropriate protection cannot be guaranteed; and
-
comply with applicable requirements concerning research ethics, copyright, intellectual property, privacy, and data protection.
Responsibility for the scientific accuracy, originality, ethical compliance, and integrity of a submitted manuscript remains entirely with its human authors.
2. AI-Generated, False, or Unverifiable References
JUTECHSY requires all references included in submitted manuscripts to be authentic, accurate, relevant, and independently verifiable.
Authors must personally verify every source cited in their manuscripts. The use of generative AI does not relieve authors of their responsibility to ensure that bibliographic information accurately represents an existing scholarly publication or other legitimate source.
Authors must not submit references that are:
-
fabricated or nonexistent;
-
generated by AI without independent verification;
-
materially inaccurate;
-
incorrectly attributed to an author, journal, conference, publisher, or institution;
-
associated with a false DOI or other identifier; or
-
misleading in relation to the claim for which they are cited.
Where a valid DOI or another persistent identifier is available, authors are encouraged to provide it accurately.
JUTECHSY may conduct reference verification during initial editorial screening, peer review, or production. A manuscript containing fabricated references, systematically unverifiable citations, or other serious bibliographic irregularities may be rejected or removed from the editorial process.
If such problems are identified after publication, the journal may undertake appropriate corrective measures in accordance with its publication ethics and correction or retraction procedures.
3. Disclosure of Generative AI Use
Authors must disclose substantive use of generative AI or AI-assisted technologies that contributed to the preparation or development of a submitted manuscript.
The disclosure should clearly state:
-
the AI system, application, or service used;
-
the purpose for which the technology was employed; and
-
confirmation that the authors independently reviewed and verified the relevant outputs and accept responsibility for the final manuscript.
Authors may use the following declaration:

During the preparation of this manuscript, the author(s) used [NAME OF AI TOOL/SERVICE] to assist with [DESCRIPTION OF PURPOSE]. All AI-assisted outputs incorporated into the manuscript were subsequently reviewed, verified, and edited by the author(s). The author(s) accept full responsibility for the accuracy, originality, integrity, and final content of the manuscript.
A declaration is not required when generative AI or AI-assisted technologies have not been substantively used.
4. AI Systems and Authorship
Generative AI systems, large language models, chatbots, and other AI-assisted technologies cannot be identified as authors or co-authors of manuscripts submitted to JUTECHSY.
Authorship requires responsibilities that an AI system cannot independently fulfill, including accountability for the work, approval of the final manuscript, responsibility for research integrity, management of conflicts of interest, and the ability to respond to questions or concerns regarding the published research.
Accordingly, authorship must be attributed only to individuals who satisfy the journal's applicable authorship requirements.
5. AI as Part of the Research Methodology
JUTECHSY distinguishes between AI used to assist manuscript preparation and AI used as an actual component of the research methodology.
The methodological use of AI is permitted and is particularly relevant to research involving artificial intelligence, machine learning, natural language processing, computer vision, intelligent systems, data science, software engineering, information systems, and related fields.
When an AI system forms part of the research method, authors must provide sufficient information to allow readers and reviewers to understand, assess, and, where reasonably possible, reproduce the procedure.
Depending on the nature of the research, the Methods or Methodology section should report:

the name of the AI model, system, platform, or application;
-
the model or software version, where available;
-
the developer, provider, or relevant source;
-
the role and purpose of the AI system within the research;
-
relevant configurations, parameters, procedures, or prompts where necessary for reproducibility;
-
procedures used for human validation, verification, or quality control;
-
relevant datasets and evaluation procedures, subject to applicable ethical and legal restrictions; and
-
other technical information necessary to permit critical evaluation or replication of the method.
The methodological use of AI is therefore not prohibited by JUTECHSY. It must, however, satisfy appropriate standards of scientific transparency, reproducibility, validation, and research integrity.
6. AI-Generated Figures, Images, Visualizations, and Research Data
Generative AI must not be used to fabricate, falsify, manipulate, or misrepresent empirical data, experimental observations, research findings, or scientific evidence.
AI-assisted visualization may be used when the resulting visualization accurately represents genuine underlying data and can be traced to transparent and reproducible analytical or computational procedures.
When generative AI is substantively used to produce conceptual illustrations, explanatory diagrams, workflows, graphical representations, or similar non-empirical visual materials, authors must disclose its use where relevant.
Authors are responsible for ensuring that all figures, diagrams, images, and visualizations included in their manuscripts are accurate, appropriately attributed, ethically produced, and compliant with copyright and intellectual property requirements.
7. Use of AI by Reviewers
Manuscripts submitted to JUTECHSY are confidential scholarly documents. Reviewers are therefore required to preserve the confidentiality of all manuscripts and related materials received during peer review.
Reviewers must not upload, copy, transmit, paste, or otherwise disclose confidential manuscript content to publicly accessible or non-private generative AI systems.
Confidential material includes, but is not limited to:
-
complete manuscripts;
-
abstracts or substantial portions of unpublished manuscripts;
-
figures, diagrams, and tables;
-
unpublished datasets;
-
supplementary materials;
-
source code or technical information not publicly available; and
-
other information obtained exclusively through the peer-review process.
Reviewers must exercise their own scholarly judgment when evaluating manuscripts. Generative AI must not replace independent assessment of research quality, originality, methodological validity, scientific contribution, strengths, limitations, or publication suitability.
Reviewers remain personally accountable for the accuracy, fairness, relevance, confidentiality, and professionalism of their review reports.
Limited AI assistance may be acceptable for purposes such as improving the language of a review originally written by the reviewer or conducting non-confidential background searches, provided that no confidential manuscript information is disclosed.
8. Use of AI by Editors
Editors of JUTECHSY are subject to the same principles of confidentiality and responsible AI use that apply throughout the peer-review process.
Editors must not disclose unpublished manuscripts, research data, reviewer information, or other confidential editorial material to publicly accessible or inadequately protected AI systems.
Editorial evaluation and publication decisions must remain under human control.
AI-assisted technologies may be used for limited supporting activities, including:
-
improving the clarity of editorial correspondence;
-
supporting non-confidential literature exploration;
-
assisting technical or administrative checks;
-
supporting reviewer identification when confidentiality and data protection requirements are satisfied; and
-
performing other administrative tasks that do not compromise editorial independence or manuscript confidentiality.
AI systems must not independently determine whether a manuscript is accepted, revised, or rejected. Final editorial decisions remain the responsibility of the journal's authorized human editors.
9. Confidentiality, Privacy, and Data Protection
All parties involved in the JUTECHSY publication process must consider the privacy and security implications of using AI technologies.
Authors, reviewers, and editors must ensure that their use of AI complies with applicable requirements concerning:

confidentiality;
-
personal and sensitive information;
-
research participant data;
-
unpublished research;
-
intellectual property rights;
-
copyright;
-
proprietary information; and
-
applicable privacy and data protection requirements.
Before submitting research-related information to an AI service, users should examine the service provider's privacy policy, data retention practices, terms of service, and relevant security provisions.
Sensitive or confidential information should not be entered into an AI system unless appropriate safeguards and authorization are in place.
10. Prohibited and Unacceptable Uses of AI
JUTECHSY considers the following practices inconsistent with responsible scholarly conduct:

generating substantial scientific content and submitting it without meaningful human intellectual contribution, review, or verification;
-
presenting AI-generated reasoning, analysis, interpretation, or conclusions as the author's independent scholarly work without appropriate human evaluation;
-
creating or submitting fabricated references, quotations, datasets, evidence, results, or other research information;
-
using AI to falsify, manipulate, or misrepresent research data or findings;
-
employing AI technologies to facilitate, disguise, or conceal plagiarism, fabrication, falsification, or other forms of research misconduct;
-
identifying an AI system as an author or co-author;
-
failing to disclose substantive AI use when disclosure is required under this policy;
-
submitting confidential manuscripts or unpublished peer-review materials to public or inadequately protected AI systems;
-
using AI-generated assessments as a substitute for independent reviewer judgment; and
-
allowing AI systems to replace the human editorial responsibility for publication decisions.
Where inappropriate AI use constitutes a significant breach of publication ethics, JUTECHSY may take appropriate editorial action. Depending on the nature and stage of the case, such action may include rejection, withdrawal from the editorial process, correction, retraction, or other measures consistent with the journal's publication ethics policies.
11. Policy Review and Updates
Generative AI technologies, technical standards, legal requirements, and scholarly publishing practices continue to develop rapidly. JUTECHSY may therefore revise this Artificial Intelligence Policy when necessary to reflect developments in research integrity, publication ethics, data protection, intellectual property, and responsible AI practices.
Authors, reviewers, and editors are expected to consult the current version of this policy when participating in the JUTECHSY publication process.
